Executive Assistant/Community Events Coordinator

Marquee Broadcasting Kentucky, Inc. is looking for a full-time Executive Assistant/Community Events Coordinator

We are looking for an experienced Executive Assistant/Community Events Coordinator to join our station family! In this role, you would assist, manage, and/or oversee multiple aspects of our business operation, as well as coordinate, at all levels, our station participation in multiple local community events to support our local non-profit organizations. Our station motto is “because local matters”, so this position is crucial to fulfilling that motto and upholding our dedication to those non-profit partners.

Responsibilities:

  • Provide organizational and administrative support to General Manager and management staff
  • Manage staff phone directory and provide phone coverage for front desk, when needed
  • Issue client credits and process refunds through corporate
  • Monitor aging for delinquent accounts and coordinate with Sales
  • Track trade accounts and keep trade agreements updated in OSI and in business office
  • Monitor contract renewals on syndicated programming, and keep up with episode numbers
  • Oversee station vehicle maintenance and registration
  • Process new hire paperwork, payroll changes and insurance changes, and submit to corporate, as well as maintain all employee HR files
  • Process PTO and time sheet information and send copy to corporate
  • Assist in all aspects of employee recruitment and onboarding
  • Collect and prepare information/documents for all meetings and conferences
  • Generate monthly expense reports for Department Heads and submit to corporate
  • Compile, coordinate and distribute FCC reports (Programs & Issues, Children’s Reports and EEO)
  • Distribute petty cash, as needed, and manage petty cash account
  • Maintain staff contact database
  • Provide administrative support to department supervisors, as needed
  • Copying, filing, organization of paperwork
  • Note taking on calls and during meetings, as needed
  • Order office supplies and maintain supply closet and all copier stations
  • Assist with planning and implementation of departmental/station events, gifts, etc.
  • Coordinate all aspects of community event sponsorships with non-profits and community leaders
  • Coordinate accounts payable and receivables with corporate office
  • Process credit checks for new account prospects
  • Attend training sessions, industry events and station sponsored community events to build awareness and engagement for WNKY and Marquee Broadcasting
  • Assist visiting executives, as needed
  • Other projects as required

Skills & Competencies:

  • Strong Computer skills: MS Word, Excel and PowerPoint required; experience in Google Sheets, Docs, Keep and Drive preferred.
  • Strong internet research skills using various search engines, databases, and social media platforms
  • Excellent written (spelling, punctuation, grammar) and oral (professional and friendly demeanor) communication skills
  • Exceptional organizational and follow through skills
  • Ability to multi-task and prioritize with attention to detail
  • Ability to independently solve problems
  • A self-starter with a team player attitude
  • Take responsibility for and ownership of tasks
  • At ease in a fast-paced, high energy, ever-changing work environment with shifting priorities

Experience:

  • Minimum of 2 to 4 years administrative experience required
  • Minimum of 2 years accounting experience in a corporate setting preferred
  • Education: B.A., B.S., or equivalent experience preferred
